The Recruiting Operations Specialist executes defined recruiting operations processes and partners with recruiters and stakeholders to support smooth, timely, and accurate hiring workflows. This role coordinates offer management, interview logistics, onboarding activities, and recruiting documentation across college and professional hiring. The role applies sound judgment within established processes, maintains strong data accuracy, and contributes to a consistent candidate and stakeholder experience.
Responsibilities
- Manage defined offer management activities, including preparing and creating offer letters, coordinating approvals, and ensuring accurate and timely communication with candidates and stakeholders.
- Coordinate offer rollout and candidate follow-ups to support a smooth and positive candidate experience.
- Coordinate interview scheduling and logistics by following established processes, timelines, and service expectations.
- Partner with recruiters and hiring teams to manage candidate logistics during college and professional hiring activity.
- Manage routine communication with candidates and internal teams to ensure a seamless and professional experience.
- Ensure recruiting documentation and workflows are accurate, complete, and aligned with established standards.
- Maintain recruiting systems and ATS data accuracy; track pipeline activity and prepare routine reports.
- Resolve routine day-to-day operational issues independently and escalate non-routine risks or exceptions as appropriate.
- Coordinate operational activities for recruiting initiatives, events, and seasonal hiring demand.
- Lead the planning and execution of small recruiting projects and events within defined scope, coordinating timelines, stakeholders, and deliverables.
- Apply automation to improve recruiting workflows, reduce repetitive tasks, minimize errors, and strengthen operational efficiency.
- Build and maintain routine recruiting dashboards and reports in Power BI to support data visibility and decision-making.
- Follow established processes and share observations that may improve efficiency, consistency, or candidate experience.
- Work with external vendors and third-party providers, as needed, to support recruiting operations workflows.
Minimum Qualifications
- A bachelor's degree is required.
Additional Qualifications
- 2–4 years of experience in recruiting operations, HR operations, recruiting coordination, or similar environments.
- Experience coordinating offer letter creation, interview logistics, onboarding activities, or candidate communication workflows.
- Good understanding of recruiting processes and the candidate lifecycle.
- Strong attention to detail and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Working knowledge of Applicant Tracking Systems (ATS), HR tools, or recruiting platforms.
- Microsoft Excel skills, including comfort working with spreadsheets, tracking data, and preparing routine reports.
- Strong written and verbal communication skills.
- Collaborative and customer-service mindset when working with candidates, recruiters, and internal stakeholders.
- Exposure to background check processes or onboarding compliance workflows is a plus.
- Experience using reporting and productivity tools such as SharePoint, Power Automate, Power BI, Adobe Sign, Workday, CRM platforms, or similar tools is a plus.
- Experience working in a multinational or global organization is a plus.
